We are currently seeking an Administrative Assistant to join our growing team!

Position Overview:

Performs administrative and office support activities for multiple departments. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, filing, scanning and faxing. The position requires an individual who is flexible, easygoing and has a positive can-do attitude.

Essential Duties and Responsibilities:

  • Perform a variety of administrative-related activities as assigned, including reconciling statements, issuing purchase order numbers, and assisting in processing and tracking time sheets.

  • Perform general office duties such as ordering supplies, data entry, scanning, filing, and retrieval of documents, records, and reports.

  • Be proactive in all facets associated with administrative tasks as well as office upkeep such as receiving and distributing incoming mail, and order and maintain adequate office supplies.

  • Enter resources from Daily Work Orders in the accounting system prior to handing off to project management staff.

  • Reconcile and enter time into timekeeping program.

  • Complete and submit expense reports to accounting staff within established deadlines.

  • Print manifests, labels and put together job folders for scheduling.

  • Act as a liaison between external and internal parties in coordinating meetings and training events to include travel arrangements, researching and booking facilities to ensure a successful outcome.

  • Perform other related duties as required.

Minimum Qualifications and Experience:

  • High School Diploma or equivalent

  • Associates degree in business administration or related field (preferred)

  • 2 years’ experience with increasing responsibility in standard office administrative practices and procedures.

  • Intermediate to advanced skill level in Microsoft Word, Excel and Outlook.

  • Accurately type 50 or more words per minute and 10-key 75-100 keystrokes per minute.

  • Proficient in modern office methods, practices, procedures, and operate a variety of modern office equipment including, personal computers and related software; and filing, indexing, and cross-referencing methods.

  • Communicate clearly and concisely, both verbal and in writing.

  • Excellent customer services skills by treating internal and external customers courteously, respond to their requests in a timely manner, and take responsibility to resolve complaints.

  • Ability to apply critical and creative thinking skills to overcome obstacles, and solve problems.

  • Effectively manage competing priorities in a fast-paced environment while being organized and detail oriented.

  • Must have a consistent and reliable work ethic by adhering to work schedules and utilizing time efficiently in order complete assigned tasks within defined deadlines.

  • Must be a self-starter such as finding work to do between direct assignments, follow through with tasks, and take ownership and pride in work performed.
